1.2 – Finance and Operations Associate

Are you a self starter who wants to contribute to a great organization? Voto Latino (VL) is seeking a Finance and Operations Associate to assist with daily financial tasks and day-to-day office management. Candidates should be detail oriented and enjoy working in a dynamic and entrepreneurial environment. The Finance and Operations Associate will report to the Vice President for Finance and Human Resources.

  • Collect and sort incoming mail; manage all deliveries for outbound packages and mail.
  • Process all incoming checks for deposit.
  • Balance the deposit spreadsheets, reconciling them with pipelines.
  • Draft acknowledgement letters for donations.
  • Track and process all incoming bills for payment.
  • Order supplies for the office as needed.
  • Coordinate internal staff events, such as team building events, staff meetings, retreats, etc as needed.
  • Assist other members of the VL staff with administrative needs.
  • Organize and maintain supply and storage closets.
  • Perform other administrative tasks as requested.
  • Oversee recruitment process for interns; manage daily flow of work for interns; organize brown bag lunches and other education events for interns.
  • Answer phones and greet guests; check organization voicemails; manage conference calling.
  • Manage databases.
  • Coordinate closely with the office space managers to ensure all maintenance needs are addressed, security protocols are followed and employees have proper access to the office suite.
  • Act as backup for the Executive Assistant as needed.
  • Perform other duties as assigned.
  • 4-year college degree
  • Interest in finance and operations
  • Experience meeting deadlines in a fast-paced environment
  • Ability to work individually and in a team environment
  • Be a strong self-starter who is highly organized
  • Creative problem solver
  • Consistent record of juggling multiple tasks.
  • Demonstrated commitment to and awareness of Latino civil rights and/or issues of social justice
